HIDDEN PRAIRIE RENDEZVOUS – Meeting Minutes

August 22^nd, 2009

Present:   Dick Yanke, Chuck Vasek, Kim Vasek, Charlie Sutton, Kristen Sutton, Bob Lukes, Jim Schuler, Holly Lukes, Larry Cops, Don East, Dawn & Chayton Carlson, Sam Schertz, Brett Miller, Cody Sutton, Chris Sutton, Caleb Sutton, Kaitlyn Sutton

Meeting was brought to order by Dick Yanke at 10:30 a.m.
   
I. Minutes from Last Meeting
Minutes from the last meeting were available and approved as read.  Kristen made the motion to approve and was seconded by Larry.  Motion carried and approved.

II. Treasurer’s Report
Treasurer’s report was read and accepted and passed.  Kim made the motion to accept the treasurer’s report and was seconded by Kristen.  Motion carried and approved.

III. Old Business

Prizes & Raffle Tickets
The guns has been purchased from Ross’s for the upcoming raffle.  It was decided that the club will be purchasing more bows for prizes.  Bob will make the arrangements to purchase the bows and the club will reimburse Bob for the amount.  The bows will be used as prizes and to sell as well.  All club members to bring anything they wish to donate for prizes to make sure we have plenty for this event.  Things like beeswax, candles, blankets, dishes, cast iron, sineau, bone beads, wooden beads, books, etc are all acceptable items to be used as prizes.  The in-camp raffle will be ca candle chandelier, gun, and barrel.

Price County Fair
The fair went really well and anyone wishing to know the amount of $$ that was made can contact the treasurer.  $$ amounts will not be posted online.  Next year things to think about are requesting porta potties over by our encampment.  Also hand out more flyers to fair attendee’s or set up a booth in the commercial building and all members can take turns talking to the public to inform them of the encampment.

Fall Event

Joel and Annette will be starting to have the woods walk begin on Friday in order to get a jump start on the events so other events can be planned without worry about running out of time to participate in other events.  It was agreed upon to start on Friday and continue on Saturday for people that show up at a later time so they can still participate.  The cook off for this year will be a dessert cook off that will be judged at 5:00.  The camp meal will start at 5:30.

 IV.  New Business

 Klondike Days

 It was unanimously decided from the Board of Directors of Klondike Days that they would like HP to come and demonstrate the fur trapper/buckskinner era in February 2010.  They want the club to come up with a description of what we would like see on their website introducing the club.  We need a few pictures to give to them to be put on their website.  They agreed to all of the proposed items we discussed at the previous meeting.  The board of directors will also be making a banner for Hidden Prairie.  They would like to have members come to Eagle River in the near future to look over the site and discuss in more detail of what will be going on that weekend.
